NIPEX AUDIT REQUIREMENTS

NipeX audits are carried out at the last stages of your NJQS registration steps. The audits are for new suppliers when registering with Nigerian Petroleum Exchange, NipeX is an NNPC. There are two (2) types of NipeX audits when a supplier is registering for the first time. The NipeX Desktop Pre-Audit and NipeX Onsite Audit. NipeX meant Nigerian Petroleum Exchange.

Upon completion of NipeX Registration Questionnaire, you will receive a mail containing NipeX Desktop Pre-Audit Assessment Requirements. At Desktop Pre-Audit, you are to submit all registration documents via online (email) before you will be scheduled for an onsite audit.

NipeX will go through your documents, if satisfy, you will get a notification.

After you have submitted all registration documents via online, NipeX will send you email notifying you that Desktop Audit has been closed out and you will be notify for Onsite Audit date in due time. The mail may look like the below title:

The email will read like “As part of the NJQS requirement for prequalification and categorisation of suppliers onto the NJQS scheme, your company xxxxx LIMITED. has now been scheduled for an Assessment/Audit on xxxxx at your office, #103 xxxxxxxxxxxx.

NipeX Desktop Pre-Audit Requirements List

2 Corporate Affairs Commission (CAC) – Certificate of Incorporation
3 Form CAC2.5 (or C.O.2) – Statement of share capital and return of allotment of shares
4 Form CAC2.3 (or C.O.7) – particulars of Directors
5 That the company has filed annual returns with Corporate Affairs Commission (CAC10)
6 Certificate of Registration of Increase in Share Capital (if applicable)
7 Memorandum and Articles of Association
8 Registration and Current Remittance with Industrial Training Fund (ITF)
9 Provide evidence registration and current remittance for Employee Compensation Scheme administered by Nigerian Social Insurance Trust Fund (NSITF).
10 Evidence of staff registration with a Pension Fund Administrator and current remittance
11 Evidence of group life insurance policy
12 Evidence of Registration with Federal Inland Revenue Services (FIRS)
13 Current Company Income Tax Clearance Certificate (TTC)
14 Audited account dully sealed and stamped by a chartered account for last three (3) years
15 Evidence of Medical Retainership with a clinic/hospital or HMO
16 Registration with NCDMB (NOGIC JQS)
17 Institute of Safety Professionals of Nigeria (ISPON) Membership Certificate
18 Work Permit for Expatriate staff (If applicable)
19 Federal Ministry of Labour & Productivity – Recruiter’s Licence, where applicable
20 Nigerian Maritime Administration and Safety Agency (NIMASA) – Shipping Company/Agent, where applicable
21 Nigeria Port Agency (NPA) – Shipping Company, where applicable
22 Nigerian Custom Service (NCS) – Customs Agent Permit where applicable
23 Nigerian Custom Service (NCS) – Ship Chandler Permit where applicable
24 Nigerian Custom Service (NCS) – Bonded Warehouse Operator Permit where applicable
25 Federal Ministry of Interior – Expatriate Quota where applicable

38 Nigerian Tourism Development Corporation – Travel agent / Tour operator / Hospitality and Tourist enterprise Permit where applicable
39 National Inland Waterways Authourity (NIWA) – Dredging Permit where applicable
40 Nigeria Security And Civil Defence Corps (NSCDC) – security company / agent Permit where applicable
41 National Agency for Food and Drugs Administration and Control (NAFDAC) – Chemical Supply Permit where applicable
42 Nigerian Civil Aviation Authority (NCAA) – Air Operator’s certificate where applicable
43 Evidence of Medical Retainership with a clinic/hospital or HMO
44 Advertising Practitioners Council of Nigeria (APCON) – Advertising agent / Company where applicable

NipeX JQS Onsite Audit Requirements

Your NipeX Joint Qualification System (NJQS) registration will be completed when JQS Onsite Audit has been carried out by NipeX Auditor and closed. Upon completion of this stage of your registration, your company will be migrated to NipeX and the e-Marketplace platform. The NipeX e-Bidding platform for Buyers and Suppliers of all Oil & Gas Companies in Nigeria.

Note: Renewal Audit shall be carried out every three years
